POSITION

Executive Assistant, Asset & Portfolio Management

 

Hours:

8:30 to 5:30, Monday through Friday with occasional weekends

Business trips with overnight stays may be required. Occasionally may need to drive a personal vehicle for business.

 

THE ROLE

Responsible for providing administrative support to senior professionals and supporting operations by planning, organizing, and implementing organizational systems.  Assist in developing and ensuring compliance with standard protocol and procedures for administrative work performed in all firm’s offices.

KEY RESPONSIBILITIES

  • In collaboration with other Asset Management and Portfolio Management Executive Assistants, responsible for completing administrative work, ensuring it is completed promptly and consistent with established protocols and procedures.
  • Provide administrative support to professional members of the firm to ensure the efficient, organized, and professional functioning of each department.
  • Assist with continuity among departments and satellite offices by documenting and communicating actions taken with respect to policies and procedures.
  • Promote consistency in standards by updating the administrative procedures manual.
  • Proactively communicate with other administrative personnel to help with time-sensitive projects.
  • Utilize all available resources in your day-to-day tasks (e.g., mail merging capabilities, Access, and SalesForce database reporting, etc.).
  • Proactively support knowledge sharing and efficient use of technology among all members of the professional and administrative support staff.
  • All other responsibilities which may be assigned to you from time to time.

 

TOP KEYS FOR CLIENT

  • College degree and coursework in business administration preferred.
  • Ten years of corporate executive administrative assistant level support required.
  • Ten years of administrative experience in a real estate investment firm, including familiarity with real estate investment transactions and terminology.
  • Analytical and resourceful with the ability to monitor and adhere to detailed processes and procedures.
  • Equipped with persuasive writing and oral communication skills.
  • Has excellent interpersonal skills and the ability to interact with diverse personalities.
  • Ability to proofread work for grammar and spelling and can perform basic arithmetic.
