HOURS:

RESPONSIBILITIES:

Provide administrative support to principal, maintaining a complex calendar, requiring coordination with executives, partners, EAs, and external stakeholders.

Manage travel arrangements and logistics.
- Assist in the coordination of internal and external guests visiting the Redwood City office.
- Identify, prioritize and resolve issues in a proactive manner as well as possess an ability to preemptively foresee the needs of the supported team.
- Demonstrate the capability to multitask while keeping composure and being flexible with competing priorities.
- Strong attention to detail while managing multiple priorities and responsibilities.
- Work effectively and cooperatively with other administrative professionals to achieve shared goals.
- Find new and efficient ways to create work processes to help maximize the team’s time.
- Manage all expenses for your team members in a timely manner.
- Drive and manage ad hoc projects as needed while effectively managing priorities.
- Commitment to work in our Redwood City office 3-4 days a week (and 2-3 times a month in our San Francisco office as needed) to foster collaboration and ensure consistent engagement with team members and organizational goals.
- Flexibility to work from home 1-2 days a week, particularly when the Managing Partner is not in the office.
- Help with some aspects of the personal responsibilities of the Managing Partner will be required.
- Maintain confidentiality in all aspects of third party and staff information.
KEY REQUIREMENTS:
- 7+ years of experience as an Executive Assistant, Administrative Business Partner, or similar role.
- “Underdog” mentality, a team player that has the ability to persevere in the face of adversity. – Background in managing a team with multiple geographic locations and time zones, in a hybrid working environment preferred.
- Extraordinary organizational and communication skills.
- Proven ability to consistently and positively contribute in a high-paced, and changing environment.
- Advanced computer proficiency and working knowledge of Microsoft Office and Google
- Workspace. Knowledge of new collaborative technologies (e.g., Slack, Notion, Salesforce, etc.) is preferred.
