EA to Co-Founders/Co-Managing Partners

KEY RESPONSIBILITIES:

  • Ownership and mastery for all administrative and portion of personal support for our Co-Founder / Co-Managing Partner of a $3B fund.
  • Proactively, efficiently, and accurately schedule and maintain the complex and frequently changing calendar with great judgement.
  • Ability to quickly anticipate and prioritize the Co-Founder/Co-Managing Partners schedule. Get up to speed on the critical matters and create space for the most pressing business activities.
  • Coordinate complicated, frequent, and highly fluid (and global) travel arrangements. Travel arrangements should demonstrate an understanding of their travel preferences and be well-organized, accurate, cost-effective, and compliant with firm’s Travel and Expense Policy.
  • Handling confidential and sensitive information with high discretion and professionalism.
  • Coordinates all logistics for the Co-Managing Partner’s meetings and events. This may include preparing meeting materials, greeting guests, ordering meals, coordinating transportation, and securing meeting or event locations. For larger events, the EA may also coordinate with other teams to manage complex arrangements.
  • Manage a large volume of expenses on a weekly basis to ensure complete and on-time submissions by each month-end.
  • Develop exceptional relationships not only with representatives from firm’s current and potential investors, but with other firm employees as well.
  • Become an integral member of the Admin Team, supporting Palo Alto office operations as needed (such as kitchen mgmt. and conference room maintenance) and assisting other EA team members during peak periods, vacations, and absences.
  • Other duties and projects, as assigned.

  • 10+ years as an Executive Assistant with recent experience supporting a senior executive within a venture capital or private equity firm who has a highly demanding and complex schedule.
  • Exhibits a strong passion and dedication to supporting their executive and derives immense satisfaction in assisting them.
  • Key attributes that are critical in this individual: calm demeanor, unflappable, polished, flexible, and possesses diplomacy. A proactive professional with a can-do attitude.
  • Must be flexible as these executive travels and needs support outside of traditional working hours.
  • Outstanding organization and time management skills.
  • Excellent track record in booking and arranging complex travel, nationally and internationally.
  • Excellent MS Office knowledge, Zoom platform, Expensify (or similar expense reporting software).
  • Experience in preparing Excel spreadsheets, Word documents, and PowerPoint presentations.
  • Excellent verbal and written communications skills.
  • Self-starter that can work well both independently and in a team environment.
  • Strong problem-solving orientation.
  • Bachelor’s degree, or equivalent combination of education or experience required.
