KEY RESPONSIBILITIES

The Director, Personal Services serves as the central hub for all activities related to the family and their daily life. This role is essential to meticulously consider and plan for every aspect of their lives while providing the care and privacy they require. The ideal candidate will offer guidance and direction in the following:

 

Personal Support Oversight:

  • Efficiently handle important documents such as passports, driver’s licenses, and vaccine cards.
  • Strategically manage the family’s wardrobe, ensuring garments’ excellent condition through collaboration with the team.
  • Direct stylists and manage personal vendors to enhance the family’s lifestyle.
  • Collaborate with the Director of Facilities for seamless family transitions between residences.
  • Coordinate with Security on managing ski passes, memberships, and guest codes.
  • Ensure topnotch health and wellness services.
  • Oversee all aspects of gifting activities.
  • Partner with executive scheduling teams to manage complex calendars, fostering collaborative relationships.

 

Administrative Excellence:

  • Attend operational meetings to review pending projects and family requests.
  • Effectively communicate with property staff and external partners, representing the family professionally.
  • Manage and track expenses, coordinate with finance partners, and perform light financial analysis.
  • Review contracts and liaise with relevant departments.
  • Drive quality control checks for personal services and oversee general administrative processes.

 

Organizational Communication:

  • Maximize operational efficiency through cross group collaboration and communication.
  • Oversee purchasing and inventory decisions for property operations/events.
  • Coordinate art transactions and installations with specialists.
  • Ensure standardized procedures, quality assurance checks, and training programs are developed and implemented.
  • Mentor and provide resources for ongoing professional development.
  • Set priorities and coordinate staff schedules for optimal efficiency.

 

Hospitality and Staff Management:

  • Ensure the highest level of service delivery to the family and guests.
  • Keep the family informed of current operations and project progress.
  • Cultivate a proactive culture of planning across household and property teams.
  • Manage hospitality and property staff, ensuring they are informed and organized.
  • Promote staff respect for owner privacy and confidentiality.

  • Bachelor’s degree or ten plus years of relevant experience managing high touch, private households.
