Own a high-intensity travel program as the Travel Executive Assistant in San Francisco on a close-knit team supporting the CEO of a successful venture capital firm. This newly created role brings balance to a team that covers for one another, and once travel is owned well, it frees up real time for everyone around it.
Role at a glance
- This is a full-time Executive Assistant role in San Francisco, CA, on site three to five days a week with flexibility.
- The Executive Assistant partners with the Executive Assistant to the CEO of a Bay Area venture capital firm, on a four-person support team that also includes a Personal Assistant to the CEO and a junior Personal Assistant.
- The Executive Assistant owns complex business travel for the CEO, including multi-stop domestic and international itineraries, charters and visa processing.
- Candidates need 5 to 8 years of experience supporting a founder, CEO or other senior executive, including intense, high-level travel coordination.
- Private aviation experience is strongly preferred, and a venture capital background is not required.
- The Executive Assistant joins the team’s rotational on-call schedule for weekends and holidays.

Executive Assistant key responsibilities
Business travel and logistics
- Own complex, high-intensity business travel coordination for the CEO, including multi-stop domestic and international itineraries, charters and visa processing.
- Anticipate disruptions and build contingency plans (rerouting, alternate airports, backup ground transportation) well ahead of departure.
- Serve as a key point of contact for travel vendors, including aviation and ground transportation.
Executive support
- Partner with the Executive Assistant to the CEO on calendar management, correspondence and day-to-day operational needs.
- Provide onsite coverage and support whenever the CEO is in town.
Team partnership
- Cover for the Executive Assistant to the CEO when they are out, and vice versa.
- Take part in the team’s rotational weekend and holiday on-call schedule so the team can share time off.
- Coordinate with the Personal Assistant to the CEO where business and personal logistics overlap.
