Step into a true partnership role as the Family Office Executive Assistant in Kirkland, supporting two Co-Chief Investment Officers at an established single-family office and investment platform. This is not a traditional calendar and inbox seat: you will build and shape the EA function, own investor days and board meetings end to end, and help a technology-forward team work smarter with AI.

- This is a full-time, on-site Senior Executive Assistant role in Kirkland, WA, on Seattle’s Eastside minutes from Bellevue, five days a week preferred with flexibility for the right person.
- The Senior Executive Assistant supports two Co-Chief Investment Officers at an established single-family office and investment platform, partnering closely with the Investment Team.
- The Senior Executive Assistant combines executive support with events, hospitality, complex travel, Investment Team operations and family office logistics.
- Candidates need senior Executive Assistant experience supporting high-performing principals in a demanding, confidential setting, and family office, private service, luxury hospitality, high-end events or investment backgrounds are all welcome.
- Advanced Microsoft 365 skills are required, including Outlook, Teams, SharePoint and Copilot.
- The schedule includes occasional early starts and roughly one evening event a month.

Senior Executive Assistant key responsibilities
Executive partnership
- Serve as a trusted, highly confidential partner to the Co-Chief Investment Officers, adapting to two distinct working styles: one strategic and planned, one spontaneous and social.
- Anticipate needs, surface what is missing and hold executives accountable for the inputs that keep work moving.
- Coordinate complex domestic and international travel for business and personal itineraries, managing changes in real time.
- Prepare and track expense submissions and supporting documentation.
Events, hospitality and board meetings
- Plan and run investment committee, quarterly allocation and board meetings, investor days, partner visits, offsites, dinners and team gatherings.
- Own the event plan end to end: guest lists, speakers, agendas, venues, meals, transportation, technology, reminders and day-of logistics.
- Coordinate with the family’s private resources, including chef, aviation and property teams, when projects call for it.
- Support occasional out-of-state family and team gatherings, including mountain and ski-season logistics.
- Create a polished, welcoming experience for family members, investors and guests.
Investment Team operations
- Own the administrative cadence for recurring Investment Team processes: committee materials, quarterly reporting, due diligence and fee analysis.
- Request inputs, send reminders, monitor deadlines and escalate risks before they affect a deliverable.
- Capture meeting decisions and follow-ups and carry them through to completion.
- Format, proofread and compile reports and presentations, and run the internal lunch-and-learn program.
Technology, AI and process improvement
- Become a power user of Microsoft 365, including Outlook, Teams, SharePoint and Copilot.
- Own the Investment Team’s Teams channels and SharePoint workspaces so materials are current and easy to find.
- Use AI tools for drafting, meeting prep and follow-up tracking, reviewing outputs for accuracy.
- Identify recurring work that can be simplified, templated or automated, and help the team adopt better tools.
