We are hiring an experienced executive assistant to Partners at a leading PE and VC firm in Palo Alto, CA. This is a high-trust opportunity to support Partners of a $4B fund with complex calendar management, global travel, expense oversight, and event coordination. The ideal candidate is a calm, polished, and unflappable professional with 10 or more years of EA experience in venture capital or private equity, a genuine passion for supporting executives, and the judgment to operate independently in a fast-moving, high-expectation environment.

Calendar and schedule management

  • Proactively, efficiently, and accurately schedule and maintain the Partners’ complex and frequently changing calendars with great judgment
  • Quickly anticipate and prioritize the Partners’ schedules, getting up to speed on critical matters and creating space for the most pressing business activities
  • Handle confidential and sensitive information with high discretion and professionalism at all times

Global travel coordination

  • Coordinate complicated, frequent, and highly fluid domestic and international travel arrangements that reflect an understanding of the Partners’ travel preferences
  • Ensure all arrangements are well-organized, accurate, cost-effective, and compliant with the firm’s Travel and Expense Policy

Meetings, events and logistics

  • Coordinate all logistics for the Partners’ meetings and events, including preparing materials, greeting guests, ordering meals, coordinating transportation, and securing venues
  • For larger events, coordinate with other teams to manage complex arrangements end-to-end

Expense management

  • Manage a large volume of expenses on a weekly basis to ensure complete and on-time submissions by each month-end
  • Ownership of all administrative and a minimal portion of personal support for the Partners of the fund

Office operations and team support

  • Become an integral member of the Admin Team, supporting Palo Alto office operations including kitchen management and conference room maintenance
  • Develop exceptional relationships with representatives from current and potential investors as well as firm employees
  • Assist other EA team members during peak periods, vacations, and absences
  • Support other duties and projects as assigned, including minimal personal assistant work (less than 10% of the role)
