Executive & calendar support

  • Coordinate and schedule internal and external meetings for Managing Directors, prioritizing requests based on urgency and business needs
  • Manage multiple calendars across senior leadership
  • Schedule Board of Directors meetings, including logistics and calendar coordination
  • Coordinate registration, logistics, and meeting schedules for annual conferences
  • Proactively identify scheduling conflicts and propose solutions
  • Ensure professional and personal calendars remain aligned
  • Assist with calendaring, coordination, and execution of firm social events and annual meetings

IRM support

  • Support the IRM team with calendaring, expenses, and related coordination
  • Update PowerPoint presentations, including slide creation
  • Provide fundraising travel support

Travel & expense management

  • Coordinate complex domestic and international travel, including flights, hotels, ground transportation, and meeting logistics
  • Ensure seamless travel experiences through thoughtful planning and contingency management
  • Track, prepare, and submit expense reports for travel and business expenses

Finance, accounting & legal administration

  • Provide administrative and process support to the Finance and Operations teams across monthly and quarterly workflows
  • Contribute to the firm’s AI learnings and integrate new tools into processes, where appropriate
  • Update various databases and enhance report generation
  • Support accounts receivable, expense processing, and invoice tracking, as needed
  • Collect, organize, and manage documents in support of audits, legal matters, and compliance requirements
  • Respond to routine LP information and documentation requests
  • Liaise with internal teams and external service providers (accounting, legal, vendors) to ensure smooth execution of administrative processes

Additional administrative

  • Partner with other Executive Assistants to plan and execute internal and external events
  • Support special projects, as needed

General office duties & front desk presence

  • Partner with other EAs and the front desk to act as back-up support for vendor relationships and coordination
  • Oversee lunch deliveries and general office maintenance
  • Ensure readiness for guests and visitors, conference rooms, kitchen maintenance, and supplies
