As the CEO Executive Assistant in Carson City, you will take real responsibility off the plate of a highly accomplished CEO, investor and philanthropist who is kind, respectful and down-to-earth. Rather than inherit an established structure, you will build and improve the systems behind his work and life as his family office continues to take shape, with meaningful room to grow alongside it.
Role at a glance
- This is a full-time Executive Assistant to CEO role based in Carson City, Nevada, with occasional work in Sparks and regular travel, including to San Francisco.
- The Executive Assistant supports the CEO of a large, technology-driven company across business, investment, philanthropic, household and family matters.
- Candidates need experience supporting a high-profile executive, founder, investor or UHNW principal, ideally from a family office, private equity or founder-led company.
- The Executive Assistant coordinates private aviation with the flight department, along with hotels, ground transportation and security teams.
- The Executive Assistant must be available outside traditional business hours when needed.
- Candidates must be based in or willing to relocate to the Carson City and Northern Nevada area and be comfortable with winter conditions and mountain driving.

Executive Assistant to CEO key responsibilities
Executive time management
- Manage a complex, fast-moving calendar with sound judgment and prioritization across business, personal, philanthropic and investment commitments.
- Anticipate conflicts and inefficiencies before they arise, including overlaps between business and personal life.
- Act as a trusted gatekeeper and thought partner who deeply understands the CEO’s priorities, working style and decision-making preferences.
- Operate independently once direction is given, giving the CEO time back rather than creating additional work for him.
Travel and aviation logistics
- Coordinate complex domestic and international travel, including aviation and FBO coordination with the flight department.
- Coordinate hotels, ground transportation and internal and external security teams, with strong contingency planning.
- Travel ahead of or alongside the CEO when required to ensure seamless execution.
- Plan and book personal and family travel alongside business itineraries.
Personal and household coordination
- Manage personal appointments, errands, vehicle coordination (including repositioning cars) and other time-sensitive personal logistics.
- Liaise with household staff, contractors and vendors across multiple residences, and coordinate with security personnel.
- Serve as a central point of coordination between the CEO, security, property resources and other members of his team.
- Support the ongoing development of the CEO’s family office infrastructure as it continues to build out.
Administrative and executive office support
- Prepare, proofread and manage correspondence, documents, presentations and briefing materials for business and personal matters.
- Support board meetings and, potentially, select private equity and investor meetings.
- Process expense reports, invoices and reimbursements, keeping organized records across business and personal accounts.
- Manage inboxes and incoming requests, triaging and responding on the CEO’s behalf where appropriate.
