This is a rare chance to become the first Executive Assistant to CEO in Bend for a retailer in an active growth and transformation phase. There is no executive admin function in place yet, so you will define how the role works from day one. As the company and its leadership bench expand, you will have real room to build and lead an admin team around you.
Role at a glance
- This is a full-time, on-site Executive Assistant role in Bend, Oregon, in the office five days a week.
- The Executive Assistant reports directly to the CEO of a fast-growing, multi-state retail company and works closely with the Head of People.
- Candidates need significant experience supporting a CEO or senior executive in a high-pace setting such as technology, startups, private equity or large multi-unit retail.
- The Executive Assistant’s schedule follows the CEO’s, with occasional after-hours work and flexibility around frequent travel and board commitments.
- The Executive Assistant is expected to bring AI-enabled workflows into daily support and adopt the CEO’s tools and tech stack.
- Relocation support is available for candidates moving to Bend.

Executive Assistant key responsibilities
Calendar, travel and logistics
- Own a highly complex, frequently shifting travel calendar spanning store visits, board commitments and external meetings, anticipating conflicts and triple-checking details before they become problems.
- Manage the CEO’s day-to-day schedule with the judgment to prioritize what matters and protect his time and focus.
- Operate as a true right hand, staying several steps ahead with a plan B and C already in motion before an issue reaches him.
Relationship and stakeholder support
- Maintain and proactively use a live relationship database of store leaders, vendors, external partners and board members, so the CEO always has the right context and contact on hand.
- Serve as a trusted gatekeeper and communication partner, handling sensitive, fast-moving information with discretion.
- Coordinate with the corporate team, the Head of People and other executives as the leadership bench grows.
- Support the CEO’s front-line engagement style, helping him move seamlessly between store visits, vendor relationships and headquarters priorities.
Team building and process
- Lay the groundwork for a broader executive admin function, including onboarding future admin hires as the team expands.
- Bring modern tools and AI-enabled workflows into day-to-day support to move faster and more accurately.
- Adopt the CEO’s tools and tech stack so you can support him in real time, wherever he is.
