Executive schedule & communications

  • Manage the CEO’s Outlook calendar with independent judgment — scheduling calls, meetings, events, and travel for optimal efficiency
  • Prioritize demands on the CEO’s time, redirect inquiries appropriately, and proactively protect focus time
  • Draft and edit correspondence, proofread documents, and assist with articles, white papers, and departmental materials
  • Confirm appointments and prepare briefing materials in advance of all engagements

Travel, events & meeting coordination

  • Coordinate all aspects of CEO travel — flights, accommodations, transportation, and detailed itineraries
  • Manage logistics and catering for CEO-directed events and meetings including Board, Vistage, and local groups
  • Support conference participation: materials submission, registrations, and presentation preparation
  • Coordinate travel and logistics for business guests accompanying the CEO

Board, committee & relationship support

  • Coordinate communications and logistics for industry committees chaired by the CEO
  • Support the CEO’s involvement with university, foundation, and charitable boards
  • Initiate preparation for Member Advisory Board and Carrier Partnership calls — scheduling, invitations, agendas, and surveys
  • Serve as liaison to staff, member firms, carrier partners, and the field on behalf of the CEO

Projects, gifting & special assignments

  • Manage special projects for the CEO, working with manufacturers, vendors, and designers
  • Coordinate ordering and distribution of gifts and recognition items for members, partners, and staff across holidays, life events, and milestones
  • Prepare recipient lists, select items with CEO approval, oversee mailing, packaging, and cost management
  • Track gifting spend and recommend items aligned with relationships and brand standards

Financial administration & records

  • Review and submit invoices for payment; complete expense reports and manage credit card statements for CEO and EA
  • Maintain files for the CEO’s insurance policies and trusts; scan documents into internal systems
  • Manage continuing education requirements for the CEO’s designations, licenses, and industry memberships
  • Maintain confidential records related to trusts, family business holdings, and personal matters

Personal & private affairs

  • Coordinate personal calendar including extended stays, aligned with business and family obligations
  • Plan and manage personal and family travel logistics with detailed itineraries
  • Provide administrative support for charitable engagements and private commitments
