We are hiring an experienced executive assistant for a hybrid role split between San Francisco and Palo Alto, CA, supporting a senior leader at one of the most respected firms at the intersection of venture capital, private equity, and private wealth management. This is a true business partner role for a sharp, proactive operator who anticipates needs, drives accountability, and thrives at the center of a fast-moving, high-performing team. What we’re looking for in an executive assistant
Executive assistant key responsibilities
Executive and calendar management
- Serve as a true business partner to the leader, ensuring seamless flow of day-to-day activities and anticipating needs before they arise
- Own and proactively manage a complex, high-volume calendar across multiple time zones, balancing competing priorities with sound judgment
- Manage and prioritize a busy email inbox, drafting responses, flagging what matters, and triaging on behalf of the executive
Relationship and network management
- Drive relationship management by tracking and strategically planning engagement with internal stakeholders, external partners, and the broader community
- Send and track gifts, mailings, and other relationship touchpoints
- Build rapport across the team and partner closely with colleagues across the firm
Meeting execution and follow-through
- Capture follow-ups, action items, and key takeaways from meetings; proactively chase deliverables across stakeholders to keep workstreams on track
- Proactively capture, enter, and maintain meeting notes, contacts, and relevant data in Salesforce and other systems
- Proactively coordinate internal and external meetings, team events, and meeting materials
Travel, events and logistics
- Seamlessly coordinate domestic and international travel logistics, meals, vendors, and lodging
- Plan and execute team events and VIP engagements end-to-end
- Demonstrate timely responsiveness outside of regular business hours when needed
Systems, operations and administration
- Continually create and improve systems and processes around team functionality and operating cadence
- Manage and process monthly expense reports with accuracy and timeliness
- Provide additional administrative and special project support as needed
