RESPONSIBILITIES:

  • Administrative support for Investment Team:

o    Manage complex calendars, schedule appointments, coordinate travel arrangements and expense processing.

o    Travel arrangements & expense processing.

o    Assist in the coordination of meetings, conferences, and events.

o    Coordination of IT help-desk tickets.

o    Light research related to assets.

Proofread documents.

o    Create and update slide deck presentations.

o    Prepare information needed for internal and external meetings.

o    Maintain and update databases, contact lists, and other organizational records.

o    Ensure accurate and organized filing systems for both electronic and physical documents

o    Prepare and assist with presentation information needed for Team Meetings.

 

  • Receptionist Duties:

o    Greet and assist visitors in a professional and welcoming manner.

o    Answer and direct phone calls, taking messages when necessary.

o    Manage incoming and outgoing mail, packages, and deliveries.

o    Maintain a clean and organized reception area.

o    Partner with and provide back up support to Administrative Team members including the Office Manager collaborating with facilities and maintenance coordination.

 

  • Special Projects:

o    Assist Office Experience Manager and Executive Assistant to the CEO with special projects on behalf of the COO or CEO as they arise.

o    Contribute innovative ideas and solutions to enhance the enjoyment and efficiency of the office experience.

o    Perform other duties & responsibilities as required or assigned.

 

REQUIREMENTS:

  • Bachelor’s degree required.
  • Minimum of 3 years working experience in executive administration.
  • Background in hospitality or financial services preferred.
  • Experience and comfortability interacting with C-level executives and investment principals.
  • Outstanding organizational, critical thinking, and time management skills
  • Strong attention to detail and the ability to address multiple priorities and deadlines.
  • Excellent written and verbal communication skills
  • Highly resourceful team-player with the ability to also be extremely effective independently.
  • Ability to discern between information to determine underlying issues, urgency of requests and impact of information provided.
  • Willingness to learn and ability to grasp new concepts quickly and extremely flexible and enthusiastic about change. Positive attitude and ability to maintain composure under stress.
  • Tech-savvy and comfortable with software such as Microsoft Office products, Slack, Salesforce, and Asana
  • Detail-oriented: Takes time to recheck work before submitting to ensures accurate facts and figures, and other high standards of execution.
