Job Summary:
A UHNW family is seeking an experienced and professional Travel Personal Assistant to provide comprehensive support in their day-to-day personal and household needs. The Travel PA will coordinate family activities, and manage personal tasks, while also collaborating with other household staff and external service providers. The ideal candidate will have exceptional organizational skills, be discreet, and capable of anticipating the needs of the family.

 

KEY RESPONSIBILITIES:

  • Personal Assistance:
    • Manage the family’s personal schedules, including appointments, travel, and events.
    • Provide support and assistance in managing the principals’ parents’ needs.
    • Packing, unpacking, and acting as a valet for President and family when they are traveling
    • Assist with personal shopping, wardrobe management, and gift purchasing.
  • Household & Staff Management:
    • Oversee and coordinate household staff schedules, ensuring smooth day-to-day operations.
    • Organize household inventory, ordering supplies, and ensuring items are restocked when needed.
    • Point of contact for nannies, ensuring children’s schedules and needs are met, and coordinate childcare logistics as needed.
  • Event & Project Coordination:
    • Assist in planning and executing family events, holidays, and special occasions.
    • Oversee personal and family projects, ensuring timelines and goals are met.
  • Administrative Support:
    • Handle confidential matters, including correspondence, document management, and financial transactions.
    • Assist with household budget management, tracking expenses and managing invoices.
  • Childcare & Family Support (if applicable):
    • Assist with organizing children’s schedules, including school, extracurricular activities, and appointments.

  • 3+ years of experience as a Personal Assistant or similar role supporting a UHNW individual or family.

Position Description

 

Seeking a dynamic Executive Personal Assistant for a CEO in San Francisco. The ideal candidate will be a seasoned executive level assistant having worked in a professional setting, as well as, the creative world that thrives in a fast paced and ever-changing environment.

 

Candidates must have exceptional relationship management skills and will be the Principal’s personal brand representative engaging with centers of influence, c-suite executives, public figures and close friends and family. The ideal candidate is hospitality driven and will help the Principal achieve his goal of becoming the world’s ultimate host.

Property Management/Maintenance:

  • Establish maintenance program/protocols for primary residence to minimize equipment failures/downtime for repair
  • Maintain accurate records of house systems/vendors
  • Select, vet, and manage all household vendors including, construction/remodel, maintenance/repair, and ongoing service vendors
  • Empower home office to maintain open communication, put in place systems for smooth operation and communication ensuring home is a place of relaxation

 

 

Qualifications

Excellent written and verbal communication skills are required along with the ability to adapt to effectively support Employer’s needs, both at home and while traveling. Attention to detail and strong decision-making ability are equally important. This self-motivated individual must be able to manage multiple projects, communicate effectively, simultaneously prioritize critical tasks, and optimize time with Employer. Ideal candidate is a career assistant with long-term intent and is bright, forward-thinking/anticipatory, meticulous, highly organized, solution oriented, and humble.

 

  • 7 plus years of executive level support in a professional setting
  • Background in art, architecture, fashion and design – can provide portfolio of creative work
  • Proven track record of providing high level of personal/private support to C-Suite executives
  • Can make executive level decisions and provide data analysis to Principal to support decision making process
  • Willingness to travel as needed
  • Ability to work autonomously, make execute level decisions and can think like an owner
  • Comprehensive knowledge of PC/Mac operating systems, iPhone apps, GSuite
  • Must have a valid driver’s license, clean driving record, and have vehicle to run errands as needed
