KEY RESPONSIBILITIES

 

  • EA Responsibilities (~70% of role)
    • Calendar management – maintain and update multiple calendars.
    • Travel (business/personal) – often complex (private and commercial air)
    • Tracking emails, scheduling virtual and in-person business meetings, including ordering meals, arranging travel, preparing meeting rooms, invitations, etc.
    • Arrange, confirm, re-confirm, re-schedule and follow-up on all appointments.
    • Draft correspondence, formatting, inputting, editing, copying, and transmitting text and data
    • Establish and maintain files and records.
    • Generally, support the productivity of executive in whatever capacity is required
    • Assist principal in planning and coordinating special events: Choosing venues, setting dates, selecting menus, organizing guest lists, sending out invitations and working with caterers and outside vendors.
    • Manage business expenses and gather support as required.

 

  • PA Responsibilities (~30% of role)
    • Point Person for multiple homes (maintenance supervision and scheduling and includes assisting with management of household staff)
    • Coordinate home maintenance projects: assist architects, contractors, gardeners, landscapers, decorators, and maintain their punch lists and manage follow ups as required.
    • Maintain tracking system for licenses, passports, household maintenance contracts (i.e., landscapers/pool service/air conditioners etc.…)
    • Work closely with spouse’s PA to coordinate events, travel plans, appointments, etc.
    • Accounts payable/ bill pay (will report to and be trained by the bill pay manager)
      • Intake and organization of all invoices for homes/personal life
      • Obtain approvals from principal and enter data into accounting software to be reviewed for payment.
      • Download credit card statements for principal and related household staff.
        • Categorize expenses, obtain support for expenses as needed for review and approval and submission for payments.

POSITION:
EA-PA supporting 2 General Partners, including a Founding Partner
Role will be approximately 70/30 split (70% EA/PA support to the Sr. Founding Partner and 30% for the other GP)

HOURS:
8:30/9am to 6:30pm ET
5 days a week in office

KEY RESPONSIBILITIES:
· Heavy Scheduling/calendar management and general support for General Partners anticipating needs and supporting with general meeting prep, daily schedule maintenance
· Plan and schedule travel, accommodations, and other reservations for business trips, with often changing travel itineraries
· Support with expense reporting
· Be an extension of the General Partners; liaise with high-profile clients
· Demonstrate superior attention to detail in all areas of responsibility
· Provide meeting support: jump in to help troubleshoot zoom issues, manage conference room calendars
· Ad hoc project support

TOP KEYS FOR CLIENT:
· EA-PA, 6-8+ years of relevant experience (i.e., PE/VC background a plus, but not required)
· Expertise in calendar/meeting/travel management (Board meeting scheduling experience a plus)
· Proactive/strategic scheduler who knows how or is willing to learn the NYC restaurant scene
· PA and/or concierge/high-level hospitality experience is a plus (PA related work can make up to 50% of the job on some days so a high-level “go above and beyond” mindset is required)
· Highly motivated and organized approach, with an excellent work ethic, judgement, resourcefulness, and bias towards getting things done
· Professional, poised, and positive-upbeat demeanor with a strong “white-glove” customer service mentality
· Experience working in a fast-paced environment with constantly changing priorities and competing demands
· Extraordinary attention to detail (including timeliness) and an internal drive to produce
· Strong tech fluency with experience in: Microsoft Office Suite, Google Suite, and Slack
· Exceptional written and oral communication skills
· Effective interpersonal skills, positive and upbeat with an ability to interface with personnel at all levels of the company
