We are hiring an experienced executive assistant for a leading private equity firm in San Francisco, CA. The role covers executive calendar management, domestic and international travel, correspondence, and liaison with portfolio organizations, investors, and clients. Communication and information management

  • Review incoming mail and email, prioritize and summarize content, and process replies on own initiative or from executives’ notes and directives
  • Compose, draft, proof, edit, and finalize correspondence including email and other documents

Planning and calendar management

  • Manage and monitor executives’ calendars, anticipate scheduling conflicts, and communicate changes to all involved parties immediately
  • Handle planning logistics for domestic and international trips, providing detailed itineraries, agendas, directions, and backup materials
  • Prepare expense reports in a timely manner ensuring accuracy and submit in accordance with firm policy
  • Schedule and coordinate meetings and executive events, reserve meeting space, ensure appropriate equipment and materials are available, and coordinate hospitality services as needed

Liaison and teamwork

  • Liaise with portfolio organizations, investors, guests, and all personnel in a professional and courteous manner that reflects the firm’s culture and values
  • Act in a discreet and professional manner, maintaining the confidential nature of the firm’s business at all times
  • Act as a true team player, taking on additional tasks to support colleagues and offering to help before being asked
