What we’re looking for in an executive assistant
Executive assistant key responsibilities
Calendar and scheduling
- Manage the New York investment team’s calendars, schedule appointments, meetings, and calls
- Be present in the New York office during business hours five days per week to host and direct visitors
Travel and expense management
- Handle all business travel arrangements including flights, restaurants, hotels, and transportation
- Manage complex expense reports, receipt collection, and invoices
Administrative and CRM support
- Provide general administrative support including filing, answering phones, and updating the CRM and contact databases
- Handle confidential information with discretion and professionalism at all times
- Assist with other projects as needed, including event planning and organization
- Perform occasional personal tasks and errands for the team
Office and facilities management
- Ensure the office is clean, safe, and well-maintained at all times
- Liaise with property management on work orders, onsite vendors, and other suite and building related items
