Key Responsibilities

  • Manage heavy calendar scheduling, including frequent updates and real-time adjustments
  • Coordinate complex travel itineraries, providing options and adapting quickly to changes
  • Arrange, confirm, reschedule, and follow up on all appointments (medical, personal, business)
  • Communicate with household staff to ensure seamless and timely execution of responsibilities
  • Coordinate driver schedules and logistics for optimal efficiency
  • Oversee home maintenance projects, working with contractors, architects, landscapers, and vendors
  • Maintain ongoing project and task tracking lists for continuous review
  • Manage personal requests including reservations, event planning, gifting, and special arrangements
  • Maintain organized electronic files for household operations, equipment, and records
  • Manage a contact database including personal, business, and family relationships
  • Run personal and household errands as needed
  • Handle incoming correspondence and manage scheduling based on invitations and commitments

Candidate Profile

  • 4–5+ years of experience as a Personal Assistant or similar role
  • Highly organized with strong prioritization skills
  • Excellent attention to detail and accuracy
  • Strong verbal and written communication skills
  • Ability to multitask and manage competing priorities
  • High level of integrity, discretion, and professionalism
