POSITION

Office Manager / Member of Operations Staff

KEY RESPONSIBILITIES

Office & Workplace Operations
• Own day-to-day office operations across current and future Cambridge locations
• Ensure offices are fully stocked, functional, secure, and welcoming
• Coordinate with building ownership and maintenance on facilities and space-related workstreams
• Order and manage office furniture, installations, supplies, and equipment
• Manage office access, security procedures, meeting room bookings, visitor flow, packages, and mail
• Maintain systems for equitable access to company-owned parking passes
• Lead office moves and expansions including planning, vendor coordination, and timelines
• Anticipate office needs based on hiring plans and onsite schedules

Culture, Events & Experience
• Own and evolve the in-office culture, translating company values into daily experiences
• Design and execute internal events including team rituals, celebrations, offsites, and milestone moments
• Build a vibrant HQ-centered community through thoughtful programming
• Identify opportunities to elevate morale, engagement, and workplace experience
• Partner with leadership and People Ops to align culture initiatives with growth stage

Event Planning & Experiential Ownership
• Concept, plan, and execute events end-to-end including budgeting and post-event reflection
• Curate intentional, inclusive, and on-brand experiences
• Build strong relationships with local vendors and partners
• Continuously iterate based on feedback and impact

Onboarding & Logistics
• Own onboarding logistics in partnership with Operations, IT, and People
• Ensure new hires are fully set up on Day 1 with workstation, access, and equipment
• Coordinate onboarding technology and anticipate hiring scale needs
• Maintain scalable, documented systems

Corporate Apartments & Assets
• Manage corporate apartment logistics to ensure operational efficiency
• Oversee internal library and resource ordering
• Coordinate logistics for onsites, key meetings, meals, and A/V

TOP KEYS FOR CLIENT

• 1+ years of experience in office management, operations, facilities, hospitality, production, or logistics-heavy roles
• Highly organized with comfort managing multiple parallel workstreams
• Action-oriented and proactive in anticipating operational needs
• Strong communication skills across teams and vendors
• Ability to handle sensitive information with discretion
• Comfortable onsite five days per week
• Flexible during office moves, growth periods, or major onsite events
• Systems-minded with strong ownership mentality
