Key Responsibilities

Administrative Support

  • Provide comprehensive administrative and operational support to the Business Development, Legal & Compliance, Trading, and Finance teams.
  • Coordinate schedules for internal and external meetings.
  • Anticipate the needs of the Business Development team and plan accordingly, which includes being proactive with meetings and travel plans.
  • Track expenses and prepare expense reports.
  • Prepare travel itineraries and troubleshoot travel related issues for the team as needed. 

Business Operations

  • Perform research, data entry and special projects to support the Business Development team. 
  • Maintain and update the firm’s CRM database, Backstop.
  • Responsibility for contracts administration, which includes overseeing the addition of new vendors as well as managing the approval and renewal process.
  • Take lead in recruiting initiatives which will include project management, recruitment coordination, and providing a stellar candidate experience.
  • Help update and prepare documents primarily related to business development activities.
  • Contribute to company-wide calendars and organizational spreadsheets.

Office Operations

  • Handle front office operations (e.g., receiving visitors, sorting mail, scanning documents, answering the main phone line).
  • Assist with opening and managing the new office post-COVID-19.
  • Assist with organizing firm-wide events to reinforce our culture and build connections among employees.

 

Requirements/Qualifications

  • Bachelor’s Degree in a related field is required. 
  • Prior similar experience working in a financial services firm is required and experience in investment banking, hedge fund, venture capital and/or private equity strongly preferred.
  • Comfortable with technology and strong skills in Microsoft Office (Word, Excel, Outlook, PowerPoint, etc.) and Adobe Acrobat. Experience with project management, Backstop, IntegriDATA, Concur and/or DocuSign is a plus.
  • Takes pride in following through and high-quality work.
  • Understands the delicate nature of sensitive information and can exercise discretion around confidential matters.
