We are recruiting for an Executive Assistant to partner with 2 collaborative, brilliant Managing Directors at a highly acclaimed, established Private Equity firm in Menlo Park.  This role is multifaceted and will enable you to take ownership of your day-to-day tasks.   • Provide general administrative and office support as requested (assist with incoming phone calls, moderate copying/filing/faxes, etc.)
  • Leverage productivity software (especially Microsoft Office) to maintain calendars, contacts and tasks
  • Coordinate complex domestic and international travel arrangements and troubleshoot travel problems, if they arise
  • Assist in scheduling, tracking, and coordinating internal and external meetings, help prepare presentation materials
  • Collaborate with IT to ensure that audio/visual components are set up and functional in advance of meetings
  • On occasion, order supplies, retrieve guests/deliveries from lobby
  • Complete online expense reimbursement forms (which can involve appropriate foreign currency conversions) and track reimbursements
  • Assist with special projects as needed; proactively anticipate work assignments whenever possible
  • Maintain confidentiality of all sensitive and confidential issues
  • Build strong professional relationships with colleagues in offices worldwide



  • Minimum of 3 years’ experience supporting senior level executives
  • Strong organizational skills and attention to detail
  • Ability to work independently with strong follow-through skills
  • Excellent communication skills – both verbal and written
  • Strong interpersonal skills
  • Flexibility to juggle moderate degree of multiple and changing priorities
  • Resourcefulness (especially online) in executing projects
  • Collaborative/teamwork attitude and skills a must
  • Ability to learn new technology
  • Maintain positive attitude in a fast-paced and evolving work environment
  • College degree preferred
  • Excellent Microsoft Office Skills (including Outlook, Word, Excel, and PowerPoint)
