As the Executive Assistant to the CEO, you will be the primary support on everything administrative, and you’ll be a strategic partner working alongside the CEO and COS in driving the business. You will enjoy high levels of responsibility and serve as a sounding board to the CEO and Chief of Staff (COS), and others who work closely with them. Above all else, organization, work ethic, exemplary oral and written communication skills, ability to multi-task and judgment are key. The ideal candidate will be a quick study, a fast thinker, strong writer, self-starter, and a problem-solver who thrives in a dynamic environment and is always thinking five steps ahead.

  • Complex strategic calendar management and scheduling (both personally and professionally) on behalf of the CEO and the Executive Team; vetting, prioritizing, and arranging meetings and interviews.
  • Coordinate complex travel bookings; arrange and ensure reliability of all transportation/travel/hotel. Maintain hyper-vigilance on travel logistics before and during any travel.
  • Organize all Board of Directors meetings to include travel arrangements, hotel and dinner reservations, ground transportation (airport and local transfers), meeting room set-up and catering.
  • Working with the COS, help prepare the CEO for meetings by sourcing information, ensuring agendas are provided as required and developing briefs .
  • Foster and maintain operational efficiency.
  • Prioritize conflicting needs and handle matters expeditiously and proactively.
  • Handle a heavy volume of requests from internal and external stakeholders.
  • Follow-through on projects to successful completion, working with key stakeholders to identify CEO’s deliverables and incorporate timelines into the CEO’s workflow.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
  • Join meetings to take notes, provide support and advice to CEO and COS on projects and solutions to challenges.
  • Help prepare the CEO for conference and speaking engagements including managing preparation calendar, logistics and coordination with hosts and travel vendors.
  • Plan and manage logistics for events including.
  • Develop and maintain strong relationships with key contacts of various levels within and outside of the company.
  • Prepare expense reports.
  • Support in activities that exist at the intersection of work and personal.
  • Help keep the executive well informed.
