This is a fantastic opportunity for someone who has one on one support experience or great executive presence and wants to move into the C-suite. This position does not require a background in finance, but it would not hurt!  The Chief of Staff is very close to the CEO and has supported and managed most aspects of his life for quite some time. She is invested in this person’s success and will help ease the transition into the role.

There will be some aspects of occasional personal assistance that may arise.  Planning personal trips or events in conjunction with the Chief of Staff is a small portion of the role. The ideal candidate will partner with the Chief of Staff to have a 360 view of their executive’s life in order to create the utmost efficiency.

The executive this candidate will be supporting is a very warm individual, and the team culture is very familial in nature and positive. They do happy hours and Sunday dinners (not a requirement but an example of their relationship) but during the workday they are focused. They are a tight-knit team. Lending a hand when needed without ego is an important part of their dynamic.

Key Responsibilities:

The ideal Executive Assistant will possess many different skills and characteristics but crucial ones for this role are proactivity, integrity, ingenuity, time management, and the willingness to go the extra mile.  

  • Support the CEO in all administrative functions including calendar management, international and domestic travel coordination, expense reconciliation, event and offsite planning, and other high priority items.  
  • Represent the CEO via email and phone with internal and external stakeholders including investors, BOD members, clients, prospects, and C-level executives and other partners.   
  • Collaborate with the Administrative team to triage and prioritize meeting requests and office events/offsites.    
  • Partner with the (Chief of Staff to CEO) to track key project milestones as well as progress toward the team and company goals/targets.  
  • Coordinate agenda planning, logistics, and meeting facilitation for Board and Investment Meetings. Prepare the CEO with necessary materials, data, and resources.   
  • Provide a welcoming environment for executive-level visitors and team members.   
  • Take on additional responsibilities as business needs grow and gain high visibility into projects.
