An Investment Banking firm in San Francisco is looking for a full-time receptionist to assist with administrative & clerical functions in the office. The ideal candidate will be highly motivated, attentive, and a self-starter with the ability to multitask.

  • Support a San Francisco office with administrative duties to ensure that office is operating smoothly
  • Manage complex calendars, including conference room calendars and scheduling appointments, video calls and managing logistics for meetings
  • Liaise with various teams: Administrative team, Office Coordinators, Facilities, Production, Technology
  • Provide back-up support to Executive Assistants
  • Help manage office shipments and mail (sending, receiving, distributing)
  • Prepare for and greet clients, visitors, and vendors on arrival/provide refreshments as necessary
  • Assist with food orders, luncheon planning, and planning of other business-related meetings as requested
  • Liaise and support internal and external clients
  • Track expenses and submit monthly expense reports
  • Assist in editing, formatting, and printing presentations and documents using PowerPoint, Word, Excel, and PDF
  • Some off-hour availability (overtime) required

Education and Qualifications

  • Bachelor’s Degree, preferred
  • 3+ years of experience in a corporate environment working in Administrative or Operations role

  • Experience coordinating complex calendars & managing expenses for multiple team members
  • Tech-savvy and excellent computer skills
  • Proficient in Microsoft Outlook, Excel, Word, PowerPoint, Microsoft TEAMS and Zoom. Familiarity with Apple devices
  • Concur expense management and travel booking experience a plus
  • Occasionally move and transport boxes up to 25 pounds
