KEY RESPONSIBILITIES:

  • Ability to manage highly sensitive, confidential information with complete discretion
  • Team player capable of working in a way that reflects the firm’s core values and principles (high integrity, commitment to excellence, treating others with respect)
  • Liaise with external organizations, investors, and all personnel in professional and courteous manner
  • Readiness to take on additional tasks and projects as requested and execute within set deadlines
  • Ability to adapt to regularly changing situations by using critical thinking and excellent judgment
  • Create and maintain accurate paper and electronic filing
  • Prepare expense reports in a timely manner ensuring accuracy and submit in accordance with company policy
  • Monitor executives’ calendars and help coordinate meetings and events as necessary
  • Schedule and coordinate meetings and events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available, coordinate hospitality services as needed
  • Monitor calendars and emails
  • Excel savvy
  • Maintain accountability and accept responsibility for daily activities reporting to assistant on status of all activities, requests, and open items
  • Plan and coordinate special projects for executive as requested
  • Team player and low ego

 

TOP KEYS FOR CLIENT:

  • 1-3 years’ experience supporting executives; college degree preferred but not required
  • Financial industry knowledge highly desirable
  • Excellent writing, editing, and verbal communication skills
  • Proficient computer skills using Microsoft Office Suite: Word, Excel, PowerPoint and Outlook; Knowledge of Tallie a plus
  • Ability to perform general office duties including photocopying, faxing, and mailing materials via various delivery service.
  • Superior time management skills; strong attention to detail
