KEY RESPONSIBILITIES

 

  • Proactively spot problems before they arise and create solutions
  • Oversee annual maintenance for a beach front primary residence.
  • Coordinate scheduling for cleaners, gardeners and other vendors.
  • Manage vendors operations including insurance, contracts, negotiating rates, and overseeing services.
  • Take a hands on approach to maintain organization and cleanliness as necessary in between routine cleaning and maintenance. 
  • Ensure safety and security to the property and family through systems, monitoring and gate keeping.
  • Maintain and update estate manuals and maintenance logs.
  • Maintain and service automobiles.
  • Maintain safety and emergency response plans for properties and the family.
  • Drive projects to closure, collaborating with design teams and others.
  • Coordinate events in the home and work with third party event planners and staff as necessary.
  • Assist with personal tasks such as packing/unpacking, dry cleaning, and running errands (e.g. grocery shopping and personal shopping).
  • Support meal service and kitchen organization, working alongside chefs, third party food vendors, or preparing meals as needed.
  • Manage household inventory, restocking supplies, and liaising with vendors for necessary purchases or repairs.
  • Handle ad hoc projects which can vary in frequency and duration. 
  • Provide backup services to the executive assistant as necessary including travel coordination in the event needed during planned vacations.

  • Must be a confident communicator with the level of maturity, discretion, and professional presence necessary to work with all levels of executives.
  • Prior personal assistant or house manager experience required (4+ years), with a working knowledge of basic office functions.
  • Unquestionable ethics and integrity and a strong sense of commitment. Demonstrated ability to protect privacy and maintain unwavering discretion in dealing with highly confidential information.
  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Ability to reprioritize responsibilities seamlessly in a rapidly changing environment.
  • Service approach with a strong sense of accountability, empathy and humility.
