  • Responsible for administrative support to the CEO 
  • Successfully completing critical aspects of deliverables and tasks with a hands-on approach 
  • Ability to handle matters confidentially, expeditiously, and proactively, with strong follow-through on projects to successful completion, often with deadline pressures 
  • Help with project coordination and tasks as needed 
  • Responsible for providing professional telephone screening and proactively managing call back schedule 
  • Active & complex calendar management 
  • Manage calendaring for CEO for both internal and external meetings, coordinating with other EAs and interfacing with all levels of the firm 
  • Maintain the CEO’s calendar, scheduling both internal and external meetings, often with high profile individuals 
  • Actively manage and greet incoming guests in a personable manner as a representative of the firm   
  • Responsible for making sure all technical equipment needed for meetings is working and ready 
  • Manage all aspects of meetings from prep to cleanup, including any food and beverage 
  • Travel and conference management 
  • Manage all aspects of complex and detailed business travel 
  • Help with coordination of personal and family trips 
  • Help with coordination of internal and external board meetings, as well as for conferences as needed 
  • Responsible for filing the CEO’s detailed expense reports on a timely basis 
  • Material preparation and production 
  • Assist in updating documents  
  • Produce polished, accurate materials, often under a tight timeline 
  • File management 
  • Set up and maintain files both hard copy and electronic 
  • Proactively manage both the current on-site and off-site filing 
  • Administrative team support 
  • Assist with major firm-wide projects as needed 
  • Potentially work with others on the Executive Team with projects as needed 



  • 5 plus years of administrative experience working with a Partner level or above 
  • Must have some Financial Services (preferably Private Equity or similar) experience 
  • Ideal candidate has experience with complex calendaring and travel 
  • Commitment to excellence with outstanding execution and obsession with detail and organization 
  • Ability to handle multiple tasks simultaneously in a high-growth, fast-paced and demanding environment 
  • Technical and functional expertise in Microsoft Word, Excel, and Outlook; PowerPoint skills required 
  • Ability to treat confidential information with appropriate discretion 
  • Ability to maintain a realistic balance among multiple priorities 
  • Positive, energetic attitude, with a calm demeanor 
  • Strong communication skills – proficient in writing, editing, and verbal communications 
  • Strong teamwork, collaboration, flexibility and proactiveness 
  • Ability to think independently and creatively
