Executive Personal Assistant (EPA)

KEY RESPONSIBILITIES

1. Parent Support & Medical Coordination

Manage all scheduling, communication, and follow-up for both parents’ medical

appointments.

Coordinate with doctors, specialists, pharmacies, and insurance providers.

Handle appointment reminders, transportation arrangements, and medical

paperwork with impeccable accuracy.

Maintain proactive oversight to ensure no detail is missed and all care needs are

supported in a timely, thoughtful manner.

2. Personal & Household Management

Oversee personal calendars, errands, returns, dry cleaning, vendor scheduling, and

general home needs.

Manage relationships with housekeepers, contractors, service providers, and

maintenance vendors.

Support home organization, household projects, and seasonal or recurring tasks.

Assist with the new Tulum property, including designer coordination, project

communication, scheduling, and support related to the future rental component.

Handle a wide range of personal tasks with discretion, efficiency, and warmth.

3. Travel Management & Light Executive Support Coordinate domestic and international travel for both principals, ensuring seamless

itineraries, logistics, and preferences.

Support Violet with work-related scheduling, onboarding materials, meeting

coordination, and event or conference prep.

Partner with her on workflow and time management as trust builds.

Provide thoughtful communication, follow-through, and an ability to operate calmly

and clearly in a fast-moving environment.

 

IDEAL CANDIDATE PROFILE

Experience & Skillset

5+ years supporting high-net-worth individuals, founders, or executives in hybrid

EA/PA roles.

Extraordinary attention to detail with a near-zero error standard.

Highly organized, resourceful, adaptable, and able to manage competing priorities

with ease.

Excellent judgment and discretion, with strong written and verbal communication

skills.

Emotional Intelligence & Values

Warm, grounded, heart-centered, and deeply service-oriented.

Other Requirements

Local to the Bay Area; ability to run errands and support in-person needs as

required.

Valid driver’s license and reliable vehicle.

Ability to travel occasionally (including internationally).

Flexibility for occasional after-hours or weekend needs.
